Horticulture Administrative Assistant Location Las Vegas, NV (The Strip area) :

POSITION OVERVIEW

The Horticulture Administrative Assistant for the Horticulture Department plays a vital role in providing administrative support to ensure the efficient operation of the Horticulture team. This position involves maintaining records, coordinating schedules, facilitating communication, and contributing to the overall organization of the department's activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following and other duties may be assigned as necessary:

  • Assist in maintaining accurate and up-to-date records related to plant inventory, maintenance schedules, and procurement orders
  • Organize and manage digital and physical files to ensure easy access and retrieval of information
  • Coordinate meetings, appointments, and events for the Horticulture Members, including internal and external stakeholders
  • Communicate schedules and updates to relevant parties and address any scheduling conflicts
  • Prepare and format documents, reports, and presentations as required by the Horticulture Department
  • Compile information from various sources to create comprehensive and well-organized documents
  • Assist in responding to inquiries and communication from team members, guests, vendors, and other departments
  • Facilitate effective communication within the Horticulture Department and with other departments as needed
  • Assist in tracking departmental expenses and reconciling budgets
  • Maintain accurate financial records and assist in the preparation of expense reports
  • Collaborate with other departments to ensure smooth communication and coordination of tasks and projects
  • Offer support in project management and execution, as required by the Horticulture team
  • Perform general administrative duties such as data entry, photocopying, managing office supplies, and organizing materials
  • Maintain an organized filing system for documents, reports, and departmental materials
  • Ensure proper labeling, categorization, and storage of files for easy retrieval
  • Temporary or permanent duties and responsibilities may be added to or modified as deemed necessary

QUALIFICATION REQUIREMENTS

  • High School Diploma or equivalent required
  • Minimum of one (1) year of experience as an administrative assistant
  • Working knowledge of all aspects of landscaping, including mowing, pruning, chemicals, annuals, tree and plant health, irrigation, and enhancements is a plus, but not required
  • Ability to multi-task and work efficiently in a fast-paced environment
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills for effective interaction with team members and stakeholders
  • Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • Team player with the ability to collaborate across departments and functions.
  • Commitment to accuracy and precision in all administrative tasks and documentation.
  • Excellent guest service skills
  • Have interpersonal skill to deal effectively with all business contacts

Member must be able to qualify for licenses and permits required by federal, state, and local regulations.

LANGUAGE SKILLS

Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.
