HVAC Manager Job Description:

The Operations Manager is responsible for driving revenue growth, ensuring operational efficiency, and maintaining the highest level of customer satisfaction. This role requires a hands-on leader who can oversee daily operations, support technicians, and enforce company standards across the board. We are seeking a driven, performance-focused individual to take ownership of department operations with a relentless focus on accountability, leadership, and results. This role demands someone who is fully bought into the APES culture and ready to lead with an “all gas, no brakes” mentality. Revenue & Growth:

  • Double department revenue through strategic execution and job maximization.

  • Ensure APES success by aggressively obtaining new customers by any means necessary.

  • Follow up on estimates until approved or lost offer financing, discounts, or upgrades to secure jobs.

  • Attend trade shows, sales meetings, and industry events to promote APES.

  • Update pricing based on supply and demand stay competitive while maintaining higher-middle market positioning.

Job & Estimate Review:

  • Review each job daily to ensure maximum efficiency, check for pictures, complete job scope notes (model/serial numbers, new unit sheets), proper pricing, and upsell opportunities.

  • Verify estimates before sending ensure correct pricing, attached pictures, options, and full job scope (perceived value).

  • Send end-of-day reports to owners and GM to catch and correct missing job information or pricing.

Technician Support & Oversight:

  • Conduct low-temperature training with technicians.

  • Review and approve tech payroll flag inflated hours or commission errors.

  • Review next-day jobs to ensure proper tech assignment and routing collaborate with dispatch before leaving.

  • Maintain stocked tech vehicles create lists for standard stocked items, tech-supplied tools, and company-supplied tools.

  • If phone troubleshooting fails, go on-site to assist techs in completing the job.

  • Serve as the first point of contact for technicians regarding pricing and job questions.

Customer & Job Accountability:

  • Notate every job touched in Service Fusion’s "notes" section for full transparency.

  • On COD calls, ensure APES protection plans are offered.

  • All COD calls must have a detailed inspection report uploaded to Fusion.

  • All new unit installs require initial measure-up sheet, startup sheet, condensate line flush test, and clear pictures of old/new model & serial numbers in Fusion.

  • Communicate job statuses or change orders to property managers, supers, and homeowners.

  • Address unhappy customers immediately make ethical decisions to resolve complaints.

Vendor & Inventory Management:

  • Negotiate with vendors for the best pricing on stock and new equipment.

Meetings & Training

  • Run bi-weekly meetings with a set agenda recognize tech performance, organize vendor training, and conduct safety training (no boring read-alouds).

Administrative & Operational Duties:

  • No time off during designated summer blackout months.

  • Always be available by phone day or night have a backup in place when off and communicate coverage to lead management.

  • Create and maintain the on-call tech rotation schedule.

  • Register all new unit installs for warranty.

  • Check and respond to all emails daily.

  • Learn customer portals (SMS, Mainstreet, AH4R, etc.) to send bids and communications promptly no delays.

  • Be ready to complete jobs when techs are out, jobs are outside normal service areas, or for low-margin jobs.

Qualifications:
  • 5+ years of experience in HVAC, plumbing, or a similar trade

  • 2+ years in a leadership or management role

  • Strong understanding of pricing, estimates, and job planning

  • Comfortable reviewing payroll, commissions, and job performance

  • Hands-on leadership style with experience training and supporting techs

  • Clear and confident communicator with techs, customers, and vendors

  • Familiar with dispatching and job scheduling

  • Able to use field service software (like Fusion or similar)

  • Willing to be on-call and available after hours when needed

  • Capable of jumping in to help complete jobs if short-staffed

  • Valid driver’s license with a clean record

  • Good problem solver who can act quickly and fairly

  • Willing to attend trade shows, vendor meetings, or job site visits

  • Must bring a positive, high-energy attitude with full commitment to the APES team
