Job Description

Growing electrical company in search of office assistant. Electrical industry experience a plus. Primary Focus Administrative support, customer service, scheduling coordination, documentation management, material tracking, communication and social media management. Role Overview The Office Assistant supports the daily operations of MK Power by managing back-end administrative and coordination tasks. This position works closely with the Operations Manager and field teams to ensure schedules, documentation, and communication run smoothly. The role focuses on maintaining project organization, assisting with material procurement, updating schedules, and providing clear communication between office, field operations and management. Key Responsibilities 1. Scheduling & Coordination Support Customer service correspondence email, messages and phone calls. Update and maintain project schedules in Jobber or designated scheduling software. Confirm appointments, inspections, and delivery schedules with clients, vendors, and inspectors as needed. Communicate daily schedule adjustments and updates to the Operations Manager and field teams. Provide support in preparing next-day schedules by ensuring resource information is accurate and up to date. 2. Documentation & Communication Collect and organize daily reports, photos, and time-sheets from field electricians. Update and maintain job files, including permits, inspection reports, material invoices, and change orders. Draft and send client updates or notices as directed by the Operations Manager or company leadership. Maintain open communication with vendors, clients, and field teams to ensure smooth project coordination. 3. Material & Vendor Support Place and track material orders; confirm deliveries and resolve shortages or delays. Maintain organized records of vendor quotes and pricing for estimating and purchasing support. 4. Estimating & Administrative Assistance Support the estimating team by collecting vendor quotes and compiling pricing data. Summarize labor hours and material costs for ongoing and completed projects. Assist with the preparation of project close-out documentation. Qualifications & Skills Strong organizational and administrative skills. Proficiency with scheduling or project management software (e.g., Jobber, Excel, Google Workspace). Excellent communication and multitasking abilities. Attention to detail and ability to manage documentation accurately. Familiarity with construction or electrical industry operations is preferred. Ability to work collaboratively in a fast-paced environment. Role Objectives Ensure project scheduling and documentation are accurate, up-to-date, and accessible. Improve coordination between office and field operations through timely communication. Support the Operations Manager and project teams in maintaining efficient project execution. Manage company social media accounts. Must Be self starter and and posses strong organizational / communication skills Be computer proficient Have previous office experience Have ability to manage company social media accounts required Additional Information Remote work (Salt Lake Valley preferred) but must be local and available for training & meetings Part-time (20-30 hours per week) with possibility of full-time #J-18808-Ljbffr MK Power
